Notes on Publicity and Canvassing

Personal canvassing is allowed, but apart from using the facilities offered by ALDC, no candidate or their supporters may publish or circulate any material promoting their election. This prohibition includes the production of any badges, posters, stickers, audio-visual or similar publicity material, and any form of reproduction (including photocopies and carbon copies), or any written material.

Personal telephone calls and individual (non-reproduced) letters are not prohibited.

The Returning Officer may at his absolute discretion eliminate from the count, or unseat if already elected, any candidate whom he considers to have transgressed this rule.

Note – the Returning Officer takes the view that personal emails, or personal messages using social media are NOT prohibited, but that mass communications would contravene this rule – i.e. no election websites, no Facebook Pages or Groups, no special election twitter accounts and no mass emails from a database.

All candidates are offered a facility to be included in the mailing of ballot papers as follows:-

  1. Candidates for Officer posts are entitled to have a black ink on white paper, single sided leaflet up to A4 size (273 mm/l86 mm max.). Candidates must supply their own camera ready artwork, received by the office by the published deadline. .
  2. Candidates for ALDC Management Committee are entitled to have a black ink on white paper, single sided leaflet (vertical) up to A5 size (124 mm/186 mm max.). Candidates must supply their own camera ready artwork as for Officer posts.
  3. The cost of printing and circulating this literature will be borne by ALDC. Please note that because the election will be conducted electronically, this PDF will be made available electronically on the voting website, and on the ALDC website. Paper copies of the PDFs will be sent to the small number of ALDC members who we do not have a working email address for.
  4. A person standing for more than one post may use only one of these facilities
  5. A candidate may choose to use a lesser facility than the one to which they are entitled.
  6. Such material must not, in the opinion of the returning officer, defame by name or implication any other candidate.
  7. Candidates may contact the Returning Officer after close of nominations to find out if their posts are contested. The Returning Officer will NOT contact the candidates for this purpose. Nominations will be posted on the ALDC Web- site, (www.aldc.org) and candidates can use this to check the receipt of their own nomination and whether posts are contested.
  8. Any objections to an election result must be made within two weeks of candidates (or any other ALDC member requesting them) receiving the full results from the Returning Officer. Any enquiries concerning the election should be made directly to the Returning Officer at the telephone number given. No information about the progress of the ballot between the circulation of the ballot papers and the close of poll will be given.
